Roommate move-out checklist: settle bills and the deposit

Most roommate fallouts happen after someone moves out: a final electricity bill nobody budgeted for, or a deposit that comes back to the wrong person. Work through this list and everyone leaves even.

Splitting the refund? The free security deposit split calculator works out each person's share after deductions.

Questions

How do you split bills when a roommate moves out mid-month?

Prorate by days. Divide each bill by the number of days in its billing period, then multiply by the days the leaving roommate lived there. They pay that part of their share, and the people who stay cover the rest.

How do you split the security deposit between roommates?

Return it in proportion to what each person paid in. If the landlord keeps money for damage that one person caused, that comes out of their part only. Ordinary wear and cleaning costs are usually shared evenly.

What if the deposit comes back after the roommate has left?

Agree in writing before they leave who will forward their part and by when. A common option is for a staying roommate to buy out the leaving roommate's share of the deposit on move-out day, then take the full refund later.

Who pays rent if a roommate leaves before the lease ends?

Check the lease. If they are on it, they usually stay responsible until a replacement signs or the lease ends. Agree a plan early so the people who stay are not stuck covering an extra share.

How do we keep track of final shares?

Log each final bill with who paid it and who shares it, and keep each share open until it is paid. IPaid does this for free and gives you a short settle-up note to send.
